Key modules of BDO Online Personnel

  • ESS/MSS
    Employee Self Service (ESS) gives your employees access to their payslips, leave records, employment contracts and annual statements online. It also offers an interactive section allowing them to submit leave requests and expense claims. There’s an option for giving managers access to the records of their direct reports; this is referred to as Manager Self Service (MSS).
     
  • Digital employer and employee files (Qwoater)
    As an employer, you’re responsible for creating and maintaining personnel files. Given that these files contain privacy-sensitive information, they’re subject to increasingly strict rules and regulations, both at national and European level. Creating and maintaining personnel files tends to be time-consuming and there are no guarantees that they meet the requirements of the General Data Protection Regulation (GDPR). That’s why BDO has devised a solution to make personnel files GDPR-proof while increasing the efficiency of your HR records at the same time.

    The BDO digital file offers a smart solution for creating, managing and archiving HR files online. The system also allows you to share files with your employees and BDO in a secure environment. If you use this feature, you automatically comply with the rules and regulations governing the storage and sharing of personnel files and you automatically guarantee document security.

    With effect from 1 January 2019, Qwoater has started to automatically destroy documents. The retention periods, which have been defined based on the type of document, are two, five or seven years. This means that documents concerning employees who left your organisation at least two years prior to 1 January 2019 will be the first to be destroyed. The ‘end-of-service date’ as recorded in Loket.nl will serve as a reference point. This is how we make sure that the files automatically meet the destruction requirements of the GDPR.
     
  • Document generation
    Qwoater also allows document generation for all or selected employees, enabling you to automatically generate personalised documents for your employees based on your own templates. Generated documents that are shared with your employees using ESS are provided in non-editable PDF format.
